The Open with Explorer feature opens an instance of File Explorer that displays the folder structure on the server that hosts the SharePoint site. You can then work with the files in the folder like you would with a server, NAS or USB drive. For example, you can perform the following actions:
- Drag documents into, and out of SharePoint folders.
- Create folders.
- Move or copy documents from one library to another library within the same site collection or between site collections.
- Delete multiple documents at a time
Note:
This process needs to be performed in Internet Explorer.
Opening a SharePoint Folder in File Explorer:
- Click the start button in the bottom left corner of your screen.
- In the search box, please type: 'Internet Explorer'
- Under 'Best Match' you should see 'Internet Explorer' please click on this.
- Once Internet Explorer has opened, please Navigate to the Office 365 Portal, or paste the following link in the search bar: https://portal.office.com
- Before logging in we recommend that you tick the 'Keep me signed in' check box below the password field. This will allow for longer, uninterrupted usage of SharePoint from FileExplorer.
- Please now enter your email, password and click the 'Sign In' button.
- You should now see the Office 365 home page (shown above). Please click on the SharePoint icon (highlighted).
- After that, you may be presented with the option to select a Team Site, please click on the one you wish to open in File Explorer. If there's more than one, please contact your manager or Cilix for support.
- Now you need to select the folder you want to open in File Explorer. This may be a shared, or company folder. Once you've found the folder you wish to open please click on it.
Once you've clicked on the folder, you should see a box that says 'All Documents' (see right), please now click on 'View in File Explorer'.
- You might see a popup box with the title: 'Is this a private computer?', please click 'This is a private computer' if prompted.
- You should now see a File Explorer window open with the files from your chosen directory on SharePoint inside.
Note:
Microsoft requires you to provide your Office 365 email address and password on a regular basis in order to access your SharePoint Document Libraries from File Explorer on your Windows PC/laptop.
You may receive an 'Access Denied' error (as shown below) if you haven't signed into SharePoint and used the 'Open with Explorer' feature recently.
If you receive this error, then you will need to repeat the above process.
